Events scheduled at Nashua Community College may not in any way interfere with classes, student activities, or the general daily operations of the college and must be planned in conjunction with the college staff to ensure the stability of the educational process here at Nashua Community College.


The sponsoring and any co-sponsoring organization must provide prior to the event a certificate of insurance for general commercial liability covering bodily injury and property damage with limits of coverage of not less than $1 million per occurrence/$2 million in the aggregate.  The certificate of coverage shall name CCSNH as additional and NCC component of CCSNH as loss payees and provide at least 30 days’ notice of material change or cancellation. The certificate must also show the date(s) of the event.

Registration, Agenda, Layout Diagrams

The sponsoring Organization must submit registration information i.e. web site posting or event brochure which includes event times, registration fee, etc. when submitting contract. 

  1. An event agenda and if applicable layout diagram must be submitted no later than 2 weeks prior to the event. 

Arrival, Set-up and Departure Time

Arrival/set-up time is not permitted prior 7:30am on the date of event.  Prior arrangements can be made for set-up to take place the evening prior to the event as long as set-up will not interfere with the college’s normal operations.

If the event runs over the end time stated in the contract the organization will be billed at a rate of $40.00 per quarter hour.

Tables, Chairs and Table Coverings

It is the responsibility of the sponsoring organization to rent, set-up and break down any tables and chairs required.

Set-up and Cleaning

Should any organization require maintenance services for room set-up or break down an additional fee of $40.00 (M-F) or $60.00 (Sa-Su) per hour per person minimum 2 people will be required.  Two weeks advanced notice is required.

If any area is left in unacceptable condition the college will bill the sponsoring organization(s) at the rate of $55.00 per hour per person minimum 2 people for cleaning.

Food and Beverages, Alcohol

Food and beverages are only allowed in the café area.

If alcohol is to be served the organization must request permission in advance and submit a copy of its NH liquor license. In addition the organization must hire a Nashua Police detail as well as a campus security officer to be present for the event.

Personal Property Damage or Loss

Nashua Community College is not responsible for damage, theft, or loss of personal property belonging to organizations, volunteers, vendors, or participants of events.


Nashua Community College is a smoke free campus.  Smoking IS NOT permitted anywhere on campus.


Organizations, their volunteers, participants, and vendors agree to the following Computer Code of Conduct:        

  • No one will reprogram, reconfigure, install or change any software or configuration that is installed on any of the College computers or computer system.
  • No one will connect, disconnect or alter in any form how a computer or related equipment is cabled or connected to the College network system.

Signs, Poster, and Banners

Signs, posters, and banners may not be hung or taped to any walls, railings, or furniture without prior approval of college staff.

  • Sponsors & Co-Sponsors are both required to supply Nashua Community College with Liability Insurance binders as described in the attached rules and regulations document.

  • NOTE: The sponsoring and co-sponsoring organizations are responsible for all damages caused by negligent actions of its guests. The sponsoring and co-sponsoring organizations, its employees, members or guests, agree to abide by and comply with all statutes, laws, regulations and orders of Federal, State, County or municipal authorities, including, but not limited to civil rights. The College fosters an environment that is free of harassment and discrimination of any kind. It is expected that everyone on NCC property will be treated with dignity and respect. Also, all NCC property is drug and smoke-free.
  • Upon receipt of this signed form, a Letter of Intent including rental costs will be created and sent to the Contact Person for signature.
